Privacy Policy

How we handle your information & keep things transparent

Last updated: October 22, 2025

Introduction

Look, we get it - nobody actually enjoys reading privacy policies. But here at Warven Forge, we're pretty straightforward folks. We work with steel and heritage buildings, not shadowy data practices.

This policy explains what info we collect when you're checking out our work or getting in touch about a project. We're based in Toronto, Ontario, and we follow Canadian privacy laws (PIPEDA, if you're curious).

Bottom line: we only collect what we need to do our job well, and we don't sell your info to anyone. Period.

What Information We Collect

When you reach out to us or browse our site, here's what we might collect:

Contact Information

Your name, email, phone number, and company details when you fill out our contact form or shoot us an email. Pretty standard stuff - we need this to actually get back to you about your industrial loft conversion or heritage restoration project.

Project Details

Information about your building, site location, project scope, budget range - the technical stuff we need to understand if we're the right fit for your project. Sometimes you'll share photos or documents of existing structures too.

Website Usage Data

Basic analytics like which pages you visit, how long you stick around, what device you're using. We use this to figure out if our portfolio section is actually helpful or if it needs work. No creepy tracking though - we're not following you around the internet.

Technical Information

IP address, browser type, operating system - the behind-the-scenes tech stuff that helps keep our site running smoothly and secure.

How We Use Your Information

We're not gonna beat around the bush here. Your info helps us:

  • Respond to your inquiries about projects - whether that's a full industrial building design or restoring a century-old warehouse
  • Send you proposals, quotes, and project documentation when we're collaborating
  • Keep you updated on your project's progress if we're working together
  • Improve our website so it actually shows off our steel structure work properly
  • Comply with legal requirements - permits, building codes, all that regulatory stuff architects deal with
  • Occasionally send newsletters about our latest heritage restoration projects (but only if you've said that's cool)

We don't use your info for random marketing campaigns or sell it to third parties. That's not our style.

When We Share Information

We keep your info pretty close to the vest, but there are a few situations where we might need to share it:

Project Collaborators

If we're working on your project, we might share relevant details with structural engineers, contractors, or consultants. Everyone's bound by confidentiality agreements though - it's standard practice in architecture.

Service Providers

Our web hosting company, email service, and cloud storage providers technically have access to data, but they're just keeping the lights on. They can't use your info for their own purposes.

Legal Requirements

If the law requires it - court orders, government requests, that sort of thing - we'll comply. Also, if there's a safety issue with a building, we've got professional obligations to report it.

Business Transfers

If Warven Forge ever merged with another firm or got acquired (not planning on it, but you never know), your info would transfer to the new entity. We'd make sure they respect these same privacy principles though.

Cookies & Tracking

Yeah, we use cookies - but not the delicious kind. These are small files that help our website remember you and work better.

Essential Cookies: These keep the site functional. Can't really turn these off without breaking things.

Analytics Cookies: Help us understand what's working and what's not on the site. We use these to improve the user experience.

Preference Cookies: Remember your settings so you don't have to keep selecting them every visit.

You can disable cookies through your browser settings if you want, but heads up - some parts of the site might not work as smoothly.

Your Rights & Choices

Under Canadian privacy law, you've got some solid rights when it comes to your personal information:

Access

You can ask to see what information we have about you. We'll send you a copy, usually within 30 days.

Correction

If something's wrong or outdated, let us know and we'll fix it. Accurate info helps us do better work anyway.

Deletion

Want us to delete your info? We can do that, unless we're legally required to keep it (like for tax or project liability reasons).

Opt-Out

Don't want our newsletter anymore? Just click unsubscribe. No hard feelings - we know inboxes get crowded.

To exercise any of these rights, just shoot us an email at studio@warvenforge.info or give us a call.

How We Protect Your Information

We take security seriously - probably because we're used to making sure buildings don't fall down. Same principle applies to data protection.

Here's what we do:

  • SSL encryption for all data transmitted through our website (that's the little padlock in your browser)
  • Secure, password-protected servers hosted in Canadian data centers
  • Regular backups so nothing gets lost
  • Limited access - only team members who need your info to work on projects can see it
  • Regular security updates and monitoring

That said, no system is 100% bulletproof. We do our best, but if there's ever a breach, we'll let you know right away and tell you what happened.

How Long We Keep Your Info

We don't hoard data forever. Here's generally how long we keep things:

  • Project files & correspondence: We keep these for 7 years after project completion - that's the standard in architecture for liability and reference purposes
  • Inquiries that didn't turn into projects: Usually around 2 years, in case you circle back later
  • Newsletter subscribers: Until you unsubscribe
  • Website analytics: Aggregated data for about 2 years

After that, we either delete it or anonymize it so it can't be traced back to you.

Children's Privacy

Our services aren't really designed for kids under 13. We don't knowingly collect information from children. If you're a parent and think your kid has given us their info, let us know and we'll delete it ASAP.

Changes to This Policy

We might update this policy from time to time - usually when laws change or we add new services. When we do, we'll update the "last updated" date at the top and let you know if there are any major changes. For small tweaks, we'll just post the updated version here.

Questions About Privacy?

Look, if any of this is confusing or you've got questions, just reach out. We'd rather have a conversation than leave you wondering what's going on with your information.
